Job Description / Responsibilities:
EXECUTIVE ASSISTANT, CORPORATE AFFAIRS

ROLE MANDATE:

The Executive Assistant will be responsible for providing administrative support to the SVP and the Corporate Affairs team.

ACCOUNTABILITIES:

Administration:

1. Provide full administrative support to the Senior VP as required.

2. Manage daily calendar for Senior VP including scheduling of meetings, appointments and booking all travel arrangements.

3. Preparation of all correspondence (letters, memos, presentations, expense forms) using various software packages.

4. Design, review and coordinate various materials for presentations (slides, agendas, minutes, follow up, etc.).

5. Manage office administration functions including supplies, taxi chits, gift cards, office communications, mail etc.

6. Process Manager Self Serve forms ie new hire set-ups, terminations, ordering computers and telephone equipment

7. Maintain organizational charts

Coordinating:

1. Coordination of team meetings, seminars, and conferences as required (booking venues, coordinating invitees, set up for meetings, menu and food arrangements etc.)

2. Ensure that important information is communicated to the appropriate individuals.

Relationship Building:

1. Follow up and act as a liaison with various individuals both internally and externally, at all levels of the organization.

2. Use professional judgment to screen and resolve incoming calls and inquiries.

3. Liaise with senior executives and executive assistants throughout the Company in a professional and confidential manner.

4. Support the department by being the lead contact for inquiries and assuming responsibility for various projects, team initiatives and serving on committees as required.

Other duties as required:

1. Ad hoc assignments as required.

ROLE REQUIREMENTS:
3-5 years Administrative experience supporting a senior executive.Previous experience working in a large corporate environment preferredDemonstrated proficiency in all aspects of MS Office; with advanced knowledge of Outlook, Word, PowerPoint and Excel.High level of accuracy and attention to detailExcellent customer service orientation, sensitive to client issues and understanding of importance of diplomacy and confidentialityDemonstrated ability to interact professionally with people at various levels of an organizationExcellent verbal and written communication skillsAbility to multi-task in a deadline driven environmentInitiative, strong judgment and problem-solving abilitiesExperience in conducting internet researchAbility to work independently and while supporting a collaborative team environment
